The Challenge
A prominent IT park campus spanning 5 buildings required a comprehensive AV upgrade to support modern workplace communication and collaboration. Existing meeting rooms had outdated projectors with poor image quality, unreliable connectivity, and no video conferencing capability. Common areas and lobbies lacked digital communication infrastructure, with notices still posted on physical boards.
The campus management needed standardized collaboration displays across all meeting rooms including huddle rooms, boardrooms, and training rooms. Campus-wide digital signage for tenant communications, wayfinding, and visitor information. A showcase video wall in the main lobby. A solution deployable with minimal disruption to tenant operations. Centralized management for signage content across all 5 buildings.
The Solution
VTL designed a three-tier AV solution addressing collaboration, communication, and brand experience.
Tier 1 -- Meeting Room Collaboration: MAXHUB interactive flat panel displays deployed across 40 meeting rooms. Huddle rooms received 55-inch panels, standard meeting rooms 65-inch panels, and boardrooms 75 to 86-inch panels with integrated camera and microphone arrays. All panels equipped with wireless screen sharing, whiteboarding, and video conferencing readiness.
Tier 2 -- Campus Digital Signage: Samsung smart signage displays installed across all 5 buildings for lobby directories and wayfinding, elevator bank information screens, cafeteria menu boards, and common area announcement displays.
Tier 3 -- Lobby Video Wall: A 3x3 Samsung video wall in the main campus lobby for high-impact brand experiences, event promotions, and campus-wide communications.
All signage connected to a centralized CMS platform for content scheduling and distribution. VTL was selected as the single-vendor provider due to authorized distribution for both MAXHUB and Samsung, unified solution capability across collaboration and signage, multi-building corporate deployment experience, and simplified vendor management for the campus team.
Implementation
The deployment was executed in 5 phases over 12 weeks. Assessment and design (Weeks 1-2) covered room-by-room audits across all 5 buildings. Infrastructure preparation (Weeks 3-4) addressed power provisioning and network drops during off-hours. Deployment Wave 1 (Weeks 5-8) covered meeting room installations in Buildings 1-3, common area signage in all 5 buildings, and the lobby video wall. Deployment Wave 2 (Weeks 9-10) completed remaining meeting rooms in Buildings 4-5. Training and handover (Weeks 11-12) delivered end-user training building by building and CMS training for the campus management team.
All meeting room work was scheduled outside business hours (7 PM to 7 AM and weekends). A dedicated VTL project coordinator served as the single point of contact. All equipment was pre-staged at the VTL warehouse for quality checks before site delivery.

Physical notice boards were fully eliminated across all 5 buildings. Meeting room utilization improved with the interactive panel upgrade.
